Events Coordinator (REMOTE)

We are seeking an experienced, highly organized Events Coordinator to join our dynamic team. In this role, you will be responsible for event project management, overseeing event deliverables, creating and implementing conference sponsorships, communicating with sponsors, vendors, drayage companies, and hotel staff, and administering the NASWA Affiliate subscription program.


Background

The National Association of State Workforce Agencies (NASWA) is the national organization representing all 50 state workforce agencies, D.C., and U.S. territories. These agencies deliver training, employment, career, and business services, in addition to administering unemployment insurance, veteran reemployment, and labor market information programs. NASWA provides policy expertise, shares promising state practices, and promotes state innovation and leadership in workforce development.

Overview of Position

We are seeking an experienced, highly organized Events Coordinator to join our dynamic team. In this role, you will be responsible for event project management, overseeing event deliverables, creating and implementing conference sponsorships, communicating with sponsors, vendors, drayage companies, and hotel staff, and administering the NASWA Affiliate subscription program. In addition to these competencies, the ideal candidate will have strong customer service and communication skills, proficiency in contract coordination, knowledge of food and beverage ordering best practices, and experience with Cvent.

Roles and Responsibilities

  • Coordinate event contracts
  • Assist in developing meetings/events in Cvent
  • Develop and coordinate event timelines from contracting through event completion
  • Assist with event food and beverage, AV, and logistics planning
  • Identify sponsorship opportunities and assist in the development of conference sponsorships
  • Communicate and coordinate via email, phone, and in person with sponsors and vendors prior to and onsite at events
  • Coordinate and organize onsite event setup and breakdown
  • Assist with onsite check-in, registration, and hospitality desk
  • Coordinate and administer NASWA affiliate program including communicating with companies via email and phone who join the program and tracking their benefits during the year
  • Stay current on industry trends and best practices
  • Other duties as assigned

Competencies and Skills

Required

  • Strong project management and organizational skills
  • Excellent written and verbal communication and interpersonal skills
  • Customer service oriented
  • Proficient in Microsoft Office Suite
  • Experience with Cvent preferred
  • Knowledge of contract management
  • Ability to manage multiple priorities and meet deadlines
  • Ability to work independently and as part of a team
  • Flexibility to travel and work weekends and evenings, as required
  • Experience in administering sponsorships and affiliate relationships
  • Food and beverage experience a plus

Education

  • Bachelor’s degree in Event Planning/Management, plus two years’ experience in event planning; or
  • Bachelor’s degree in an unrelated field plus 4+ years of event planning experience

Job Details

Location: Remote/Telework position

Report To: Meetings & Events Lead

Term: Full Time

Salary Range: $50,000 - $60,000, commensurate with education and experience

Travel Requirements: 25-30% travel required within the U.S. for NASWA meetings and conferences
